Shelby v5 + Tithe.ly

The Tithe.ly + Shelby v5 file sync! You can find it by going into your Tithe.ly admin dashboard, clicking on the Integrations tab located on the left, and completing the required information to connect the two platforms.

One-Time Tithe.ly Setup

STEP 1: Turn on the Shelby v5 Integration: Go to Integrations from the left menu. Select your church/campus from the top drop down if you have multiple campuses. Next, select Shelby v5 from the 3rd Party API drop down and then click the green Save button.

 

STEP 2: Setup your default fund: The Default giving type (aka fund or designation) will be what all giving that comes in without a specific designation is attributed to. To set this up:

  • Go to My Churches > Edit Organization
  • Scroll to the “giving types” section and look for the Default Giving Type field.
  • Select your Default Giving Type from the drop down box.
  • Click save at the bottom and this is complete!
  • Note: the purpose code is limited by Shelby v5 to 5 characters. Shelby does allow for longer purpose codes, but the import format does not.

STEP 3: Setting up your Tithe.ly giving types to match Shelby purpose codes: Tithe.ly giving types are equivalent to Shelby purpose codes. You will need to connect the two by following the steps below.

  • Go to My Churches > Edit Organization
  • Scroll to the “giving types” section and look for the list of giving types.
  • Enter your Shelby Purpose Code next to each Tithe.ly giving type listed.
  • Click save at the bottom and this is complete!
  • Note: The default Tithe.ly Giving Type will be used for for any Tithe.ly giving that you have not entered a corresponding Shelby Purpose Code.

STEP 4: Matching Givers: Before you can export from Tithe.ly, you’ll need to ensure all givers in Tithe.ly have their Shelby Member ID attributed to them. When you attempt an export from Tithe.ly for Shelby v5 you will be presented with a screen that shows you any donors that do not have a Shelby ID. On this screen you can enter each person's Shelby member and save so that they are stored for future use. You’ll only need to do this one time and in the future the ID will always be associated with them.

Getting Ready to Import into Shelby v5

STEP 1: Locate your Shelby data directory. If you haven’t already, you’ll need to locate the Shelby\SSV5.DAT\ directory on your computer. This is where you’ll place the Tithe.ly gift export file. In most cases, this is on it's own server. Your church's IT person or Shelby representative may be able to help you locate this directory if you’re not able to locate it. We recommend creating a shortcut of the ssv5.dat folder and placing it in your “Favorites” once you’ve located the directory.One way to find the data directory is by right-clicking on your Shelby v.5 icon. Click on the Shortcut tab if there is more than one tab present. Your data path is stated in the 'Start In:' field in the shortcut for Shelby v.5.Most commonly the location of the directory is c:\shelby\ssv5.dat\ or \\”server name”\shelby\ssv5.dat\.

STEP 2: Export your BankOne.txt file from Tithe.ly

  • Set the date range for the time period you’d like to use for importing this batch into Shelby v5.
  • Log in to Tithe.ly and go to My Churches > View Giving Statements.
  • Click on the Export button, select Shelby v5 from the drop down, and click Export.
  • Your file will be downloaded into your downloads folder on your computer.
  • The file name will be BankOne.txt.

STEP 3: Moving the BankOne.txt Tithe.ly export file to your Shelby data directory (if you didn’t save it directly to the correct place)

  • Navigate to the location on your computer where the BankOne.txt file was downloaded to, right-click the file and then choose "Cut."
  • Then, navigate to the Shelby\SSV5.DAT\ file directory.
  • Right-click on the directory folder or inside the folder and select “Paste” in order to paste the BankOne.txt file into the SSV5.DAT directory.

Importing the file into Shelby V5

STEP 1: Open Shelby v5 and navigate to the Contributions Module, then choose "Contribution Processing"

STEP 2: You will receive a pop-up with the message "There is a file to import(BankOne.txt). Import?". Choose "Yes"

  • Possible Troubleshooting:
  • Problem: Do not see the "There is a file to import(BankOne.txt). Import?" popup.
  • Solution: If this pop-up message does not appear, it is likely because the export file that was placed in the Shelby Data Directory folder was automatically renamed to something like "BankOne(1).txt" due to your downloads folder already containing a file named "BankOne.txt." Shelby is programmed to import files by an exact name match, so you will want to ensure there are no duplicate files in your downloads folder. To correct this issue, simply rename the file in the ssv5.dat folder to "BankOne.txt" and re-open the Contribution Processing area.

STEP 3: Choose a default Purpose (this purpose is for contributions with no purpose specified)

STEP 4: The file will be automatically imported and shown in the batch description view. The batch will appear in your processing module complete with Names, amounts, purpose code.

 

Make sure date of batch is deposit date of your bank deposit. Also, make sure dates are correct on your contributor’s entries.

Process as normal Contributions batch.

And that’s it, you’re done!!
